The secret is not asking AI to guess how you would respond.

You train it using the emails you have already written.

Here is the three-step process I use with Claude Cowork.

1️⃣ Analyse Your Sent Emails

Ask Claude to review your sent items from the last 12 months.

Sent items—not your inbox.

Your sent folder contains the conversations you considered important enough to answer. This is where your real business communication is happening.

Ask Claude to identify:

✨ Questions customers repeatedly ask
✨ How you respond to enquiries and complaints
✨ Your tone, language, cadence and writing style
✨ Common explanations you provide
✨ Important links you regularly share
✨ Repeated processes or instructions
✨ Frequently used answers that could become templates

This allows AI to learn how you genuinely communicate instead of producing generic, robotic replies.

2️⃣ Create Your Email Reply Rules

Once the analysis is complete, ask Claude to turn its findings into an Email Reply Rules skill.

These rules become its instructions for drafting future emails.

They can include:

✨ Your preferred greeting and sign-off
✨ The language and tone you normally use
✨ How detailed your replies should be
✨ Relevant links for common questions
✨ How to respond to specific customer scenarios
✨ Topics that require your personal attention
✨ A rule to draft only and never send

You are essentially turning years of communication experience into a reusable business system.

3️⃣ Create an Email Draft Replies Skill

Next, create a second skill that checks your inbox at the frequency you choose and prepares replies using your established rules.

Claude can:

✨ Review incoming messages
✨ Identify what requires a response
✨ Use the appropriate reply rules
✨ Draft responses in your style
✨ Leave everything for your approval

I always recommend:

Draft only. Never send automatically.

AI can do the first draft, but you should still review the message before it leaves your business.

The result?

Less time repeatedly answering the same questions.

More consistent customer communication.

A growing knowledge base about your business.

And an AI assistant trained using the best possible source—your own words.
