How to Train AI to Draft Email Replies in Your Voice (Works With Claude, GrokBot and ChatGPT)

How to Train AI to Draft Email Replies in Your Voice (Works With Claude, GrokBot and ChatGPT)

How to Create an AI Email Assistant That Automatically Drafts Replies

Quick answer: To train AI to draft email replies in your voice, ask it to analyse your sent emails from the last 12 months, then turn what it finds into a written Email Reply Rules skill (tone, sign-off, links, scenarios, what needs you, draft only). Then create a second skill that checks your inbox on a schedule and drafts replies using those rules, leaving every draft for your approval. It works with Claude Cowork, GrokBot, ChatGPT and other AI.

“Nobody could possibly reply to my emails for me! I’m the only one who knows how I’d reply!“

“I could never let AI reply to my emails! It wouldn’t sound like me.“

Feel familiar?

I have been teaching business owners how to systemise and scale their business for well over 15 years now. One of the tasks I’ve always recommended people automate or delegate is their email inbox, because so many people spend so many hours a day trapped inside it, responding to people’s needs the second it pings.

As a business owner or a CEO, you should be spending your time on far more valuable work than replying to emails in an inbox.

I used AI to help me expand this post, working from my own video, my original post and the reply rules I actually use.

TL;DR

  • Train AI on your sent emails, not your inbox. That’s where your real voice and your real answers live.
  • Turn the analysis into Email Reply Rules: tone, sign-off, detail, links, scenarios, what needs you, and draft only.
  • Create a Draft Replies skill that checks your inbox on a schedule and drafts replies using your rules.
  • Never let it send automatically. You review, edit and send.
  • Keep improving the rules every time you correct a draft.
  • It works with Claude Cowork, GrokBot, ChatGPT and other AI. Prompts to copy are below.

Train AI to draft email replies in your voice: analyse your sent emails, create email reply rules, create a draft replies skill, then you review and send
The three-step process, plus the most important step: you.

AI can reply to your emails better and faster than you can

Humans are slow, much slower than AI, and in today’s world the person who replies fastest is often the person who wins the business.

Let’s face it, humans are also emotionally reactive creatures. If you’re in a bad mood, just received a shitty email, or you’re simply tired, the chances of you replying to every email in the most professional, thorough and non-emotional manner are pretty damn low.

When trained properly, with all of your previous sent items combined with a vault of knowledge of all your links and everything you sell, your AI is going to outshine you on speed and consistency, and win you more business than you could on your own.

The trick is not asking AI to guess how you would respond. You train it using the emails YOU have already written and been sending for the past 12 months or more.

Here’s the process I use with Claude Cowork. The same steps also work with GrokBot, ChatGPT and other AI.

Step 1: Analyse your sent emails

Ask your AI to review your sent items from the last 12 months. Sent items, not your inbox.

Your sent folder contains the conversations you considered important enough to answer. This is where your real business communication is happening.

Ask it to identify:

  • Questions customers repeatedly ask
  • How you respond to enquiries and complaints
  • Your tone, language, cadence and writing style
  • Common explanations you provide
  • Important links you regularly share
  • Repeated processes or instructions
  • Frequently used answers that could become templates

This allows AI to learn how you genuinely communicate, instead of producing generic, robotic replies.

Prompt to copy into your AI (GrokBot, Claude or ChatGPT)

“Review my sent emails from the last 12 months (not my inbox). Identify: the questions people ask me most, how I respond to enquiries and complaints, my tone, language, cadence and writing style, my usual greetings and sign-offs, the explanations I give again and again, the links I share most often, any repeated processes or instructions, and answers that could become templates. Leave out private details such as customer names, email addresses and payment information. Give me a written summary I can review.”

Step 2: Create your Email Reply Rules

Once the analysis is complete, ask your AI to turn its findings into an Email Reply Rules skill. These rules become its instructions for drafting future emails. They can include:

What to put in your email reply rules: greeting and sign-off, tone, level of detail, links for common questions, scenarios, topics that need you, and draft only never send
What goes into my Email Reply Rules.
  • Your preferred greeting and sign-off
  • The language and tone you normally use
  • How detailed your replies should be
  • Relevant links for common questions
  • How to respond to specific customer scenarios
  • Topics that require your personal attention
  • A rule to draft only and never send

You are essentially turning years of communication experience into a reusable business system.

Prompt to copy into your AI (GrokBot, Claude or ChatGPT)

“Using your analysis of my sent emails, create a reusable skill called "Email Reply Rules". Include my greeting and sign-off, my tone and the words I do and don't use, how long and detailed my replies should be, the correct link for each common question, how to handle each common scenario (enquiries, complaints, refunds, booking, support), a list of topics that must be flagged for me personally, and the rule: draft only, never send. Show it to me to review before you save it.”

Step 3: Create a Draft Replies skill

Next, create a second skill that checks your inbox at the frequency you choose and prepares replies using your established rules. Your AI can:

  • Review incoming messages
  • Identify what needs a response
  • Use the appropriate reply rules
  • Draft responses in your style
  • Leave everything for your approval

I always recommend: Draft only. Never send automatically. AI can do the first draft, but you should still review the message before it leaves your business.

Prompt to copy into your AI (GrokBot, Claude or ChatGPT)

“Create a second skill called "Email Draft Replies". Every [morning at 8am / 2 hours], check my inbox for new emails that need a reply, skip newsletters, notifications and spam, and draft a reply to each one using my Email Reply Rules skill. Save the replies as drafts only. Never send. Then give me a short list of what you drafted, and flag anything on my "needs me" list for my personal attention.”

Step 4: Review, correct and improve

For the first couple of weeks, read every draft carefully. When something isn’t quite right, don’t just fix the email. Tell your AI what was wrong and ask it to update the rules, so it never makes that mistake again.

That’s how the rules get better every week, and how you end up with a growing knowledge base about your business that any future assistant (human or AI) can use.

Prompt to copy into your AI (GrokBot, Claude or ChatGPT)

“I edited your draft reply to [name or topic]. Here is your draft: [paste]. Here is what I actually sent: [paste]. Work out what you got wrong, and update my Email Reply Rules skill so you handle this better next time. Show me the change before you save it.”

Step 5: Set your safety guardrails

  • Least permission first. Give your AI read and draft access, not send access. Only give it the permissions you’re willing to risk.
  • Keep a “needs me” list. Legal issues, upset customers, refunds, anything personal or sensitive: flag it, don’t answer it.
  • Protect private details. Don’t paste passwords, card numbers or other people’s private information into prompts.
  • Check the facts. Prices, dates and links change. Keep your rules up to date.
  • You hit send. Every time.

The result? Less time repeatedly answering the same questions. More consistent customer communication. A growing knowledge base about your business. And an AI assistant trained on the best possible source: your own words.

That last bit matters more than people think. AI that works from your own material isn’t slop, it’s you, faster. I explain why in What to do if AI is threatening your work, including how to train AI on your own transcripts, training and stories.

The prompt that sets it all up

Copy and paste into your connected AI (GrokBot, Claude, ChatGPT)

Train my AI to draft email replies in my voice

1. Review my SENT emails from the last 12 months (not my inbox). Identify the questions people ask most, how I handle enquiries and complaints, my tone, language and writing style, my greetings and sign-offs, the explanations I repeat, the links I share and any answers that could become templates. Leave out customer names, email addresses and payment details.
2. Turn that into a reusable skill called "Email Reply Rules": greeting and sign-off, tone, length, the right link for each common question, how to handle each common scenario, a "needs me" list of topics to flag for me, and the rule: draft only, never send.
3. Create a second skill called "Email Draft Replies" that checks my inbox every [frequency], skips newsletters and spam, drafts replies using my Email Reply Rules, saves them as drafts and gives me a short summary.
4. Show me both skills to review before you save them, and never send an email on my behalf.

FAQs

Can AI really draft email replies that sound like me?

Yes, if you train it on your own sent emails rather than asking it to guess. Your sent items show your tone, phrases, sign-offs and the answers you give again and again. Turn that analysis into written reply rules and the drafts will sound like you.

Why should AI analyse my sent emails and not my inbox?

Your sent folder contains the conversations you thought were important enough to answer, written in your own words. That is your real business communication. Your inbox is mostly other people's words, newsletters and noise.

What are email reply rules?

They are a written set of instructions for your AI: your greeting and sign-off, tone, how detailed replies should be, the links to share for common questions, how to handle specific situations, which topics need your personal attention, and a rule to draft only and never send.

Should I let AI send emails automatically?

I don't recommend it. Have your AI draft replies and leave them for your approval. Review each one, edit anything that isn't quite right, and send it yourself. AI does the first draft, you stay in charge of what leaves your business.

Which AI tools can draft email replies in my voice?

The same three-step process works with Claude Cowork, GrokBot, ChatGPT and other AI assistants that can connect to your email. The tool matters less than training it on your own sent emails and clear reply rules.

Is it safe to give AI access to my email?

Only give AI the permissions you are willing to risk. Start with read and draft access rather than send, keep private or sensitive topics on your escalation list, check your email provider's and AI tool's privacy settings, and review every draft before it goes out.

Is an AI-drafted email just AI slop?

Not when it is trained on your own words. Slop is generic content with nothing original behind it. Replies drafted from your own sent emails, your own links and your own rules are your communication, done faster, and you still approve every one.

Eight logins. Eight bills. Zero of them talking.

Most business owners I meet are paying for a website here, an email tool there, a booking app, a course platform, a CRM they never open... and then paying someone to glue it all together with duct tape and Zapier.

  • 1Leads fall through the cracks because your forms, inbox and CRM live in different places.
  • 2Every new tool means another login, another bill and another thing to learn.
  • 3You can't see what's actually working because your data is scattered across ten dashboards.

A note from the founder

I didn't set out to start a software company. I started the toolbox I needed.

Founder and CEO, Tekmatix20+ years in businessPostgraduate qualified educator

After 20+ years in business and more than 280,000 students, I kept seeing the same thing. Brilliant people with brilliant expertise, drowning in tech. Paying for ten tools, using two of them, and spending their evenings on YouTube trying to make them talk to each other.

So I put everything a business needs into one platform, then wrapped it in the thing I know best: education and support. Tekmatix runs my own websites, courses, funnels, emails and AI agents every single day. I wouldn't recommend it if I didn't use it.
